Balancing Fun and Safety: Preparing for Halloween Events in Schools and Workplaces

As Halloween quickly approaches, schools, childcare centers, and workplaces across the country are gearing up for parades, trunk-or-treat events, and costume contests. These celebrations bring energy, community, and creativity, but they can also introduce unique safety and security challenges that require thoughtful planning.

Whether your organization is hosting a classroom trick-or-treat or an office costume party, balancing fun with protection ensures everyone can participate safely. Below are some important reminders to implement and share with your team members:

1. Revisit Access Control and Visitor Management

Holiday events often mean an influx of parents, guests, and volunteers on campus or in the workplace. Before the festivities begin:

  • Confirm your visitor management protocols. All visitors should still sign in, display a badge, and be supervised while onsite.

  • Communicate arrival and departure procedures clearly to families or guests ahead of time.

  • Designate a single point of entry for all participants, monitored by staff or security personnel.

Even during casual or “open house” events, maintaining consistent access control helps prevent confusion or potential risks.

2. Consider Costume-Related Visibility and Identification

Masks, full-face paint, or costumes that obscure identity can make it difficult for staff or security to quickly recognize who belongs in the building.

  • Encourage face-visible costumes (especially for adults) and limit full masks to supervised spaces.

  • Require staff and volunteers to wear visible ID badges at all times—even if incorporated into a costume.

  • Remind participants that safety takes priority over creativity when it comes to coverings, props, or accessories that may cause concern.

“Our district loves celebrating Halloween, but we need to remind our staff that visibility and supervision are key. We plan ahead by reviewing costume guidelines, posting security staff at main access points, and clearly communicating expectations to parents and students before the event day.” – Beth Clark, Director of Safety & Security (SHEILD)

3. Strengthen Communication Before and During Events

Clear communication prevents confusion and ensures everyone knows the plan.

  • Send event guidelines in advance, outlining parking, costume expectations, and supervision requirements.

  • Have a staff briefing the morning of the event to review roles, access points, and emergency procedures.

  • If your organization uses mass notification or radio systems, test them prior to the event to ensure quick coordination if needed.

4. Keep Emergency Readiness Top of Mind

Unexpected incidents, medical, behavioral, or weather-related can arise, even with the best planning in place.

  • Assign team members who are trained in first aid or emergency response to be onsite and visible.

  • Make sure everyone knows who to call and where to go if something happens.

  • After the event, conduct a quick debrief with staff to identify lessons learned and areas for improvement.

5. Model Safe Celebration Across All Workplaces

Halloween isn’t just for kids. Many workplaces host themed days or in-office celebrations. Remind employees that safety applies here, too:

  • Avoid props that resemble weapons or could cause alarm.

  • Maintain clear pathways and avoid costume elements that obstruct vision or mobility.

  • Encourage respectful costumes that align with company policies and inclusion standards.

A quick pre-event message from leadership can go along way to reinforce that safety and culture go hand in hand.
